Overview
Luxury Presence has launched Presence CRM, a new feature within the broader Presence Platform that Partners and Associates can access through their Luxury Presence account. The CRM is included on every plan tier (Launch, Brand, Scale, and All In) and is designed to surface deal opportunities from an agent's existing relationships rather than replace the CRM tools agents may already use. It is a supplemental feature meant to work in conjunction with their Follow Up Boss account.
What makes Presence CRM different from other CRMs? Most CRMs ask you to do the work. Presence CRM does the work for you. It organizes your entire network, identifies who in your sphere is entering the market before they raise their hand, and drafts personal outreach in your brand voice.

Presence CRM helps you turn your existing relationships into deal flow by finding hidden opportunities in your contacts and recommending the exact next action to convert them into clients. It's included on every plan tier.
Most CRMs ask you to do the work. Presence CRM does the work for you. It organizes your entire network, identifies who in your sphere is entering the market before they raise their hand, and drafts personal outreach in your brand voice.
No. Presence CRM integrates with Follow Up Boss and works alongside it — leads can automatically flow to your current CRM. Think of FUB as your filing cabinet and Presence CRM as your assistant who knows what's in it. The focus is surfacing opportunities, not replacing your existing workflow.
No. Everything syncs automatically. MLS syncs every 15 minutes, and you can connect your Gmail or Outlook inbox. When a new lead is captured, you get a text and email notification. No manual data entry required.
Smart Tasks are timely suggestions based on real activity — someone revisiting your site, a past client looking at a new area, a lead responding to a text, or a new inquiry you haven't seen yet. They refresh automatically as new data comes in. Smart Tasks include two types: Smart Actions (outreach to contacts) and Tasks (follow-up items that need attention, like an unreplied email).
A daily dashboard with Smart Tasks, engagement highlights, market updates, and quick links. It gives you a simple list of people to contact and messages you can send instantly.
Yes. There's a drag-and-drop pipeline with stage tracking and pipeline value that updates as new activity comes in.
It monitors movement across your relationships — website visits, saved listings, renewed communication. When something meaningful happens, it uses those signals to identify who is entering the market and drafts personal outreach in your brand voice.
Luxury Presence works with third-party data-enrichment providers that aggregate publicly available info from public records, LinkedIn, social media, and demographic signals. This is layered on top of email inbox integration and website activity to give a unified picture of each contact. Presence AI then surfaces Smart Tasks like "send a congrats note to this person who just got promoted."
All contacts are enriched with verified data — homeowner status, property value, equity, past addresses, income level, education, and age. Leads are rated based on buying and selling criteria. Anything flagged as a poor lead is automatically moved to spam.
Yes, but tasks are lightweight and tied to Smart Tasks or deals. This is a relationship system, not a task manager.
Contact Monitoring & Plan Limits
All contacts are monitored by default, unless they've been moved to Spam or Archived.
Archive the contact or mark it as spam. Either action removes it from monitoring and frees up that slot against your plan limit.
No. To exclude a contact from monitoring, you must archive them — and listing alerts cannot be sent to archived contacts. You'll need to keep a contact active if you want to send listing alerts.
All leads are contacts. The CRM treats all people as Contacts — Leads are one type of contact alongside Clients, Vendors, Spam, and Archived.

Tips & Tricks
The Contacts page is fully customisable. Choose which columns to display, hide columns you don't need, and re-order them to match how you work. Worth exploring early.
You can create your own tags on the Contacts page and rename existing ones so they match your workflow. Shape the system to fit your process, not the other way around.
Notes are one of the main ways the AI learns and improves over time. When completing tasks or doing outreach, add notes and be specific about what you did — this helps the system surface better suggestions going forward.
From the home page, click the three dots next to a Smart Action and select the option to open the contact card. This is useful when you want to review contact details, see past notes or activity, or take action beyond what Smart Actions suggests.
Email Sync & Integrations
Gmail and Outlook. Yahoo is not supported. If you only use Yahoo, CSV upload can be used as a workaround for contacts — but email-driven Smart Tasks will not function.
Yes. You can sync multiple email accounts. There is no admin view yet for managing multiple synced inboxes.
24 months of history. An extended range is on the roadmap for a future update.
No. The platform ties into your existing inbox to track engagement. Notifications come to your existing email and phone, and the system tracks engagement in the background without disrupting your workflow.
The platform securely scans email content to create Smart Tasks — identifying who to follow up with and why. Emails are not visible in the Presence dashboard, and email content is not exposed to Luxury Presence staff. The AI uses the data behind the scenes only.
No. Email content is not exposed to Luxury Presence staff and is not currently visible in the Presence dashboard.
Yes — open and click data feeds into the Lead Score to surface who is most engaged, and it also triggers Smart Tasks when appropriate.
AI, Trust & Brand Safety
No. The system is trained on your brand. Marketing experts have reviewed thousands of AI conversations to make sure output is useful and personal — not generic templates or auto-blasts. It's you, but faster.
Through your brand profile that you set up on the Presence Platform.
Yes. Lead-nurture messages that require speed-to-lead are automated, but for anything else you can copy, paste, and edit the drafted message in your text or email before sending. You cannot send messages directly from the platform manually at this time.
Not clients. Only incoming leads that need to be qualified. The CRM may draft suggestions, but you choose when to send anything.
The Presence Platform is designed to take much of the marketing and database administration work off your plate so you can focus on what you do best — advising clients and building relationships.
Security & Data Privacy
Yes. The platform is built on enterprise-grade infrastructure with bank-level security and continuous monitoring. It runs on AWS with data encrypted at rest and in transit, 99.95% uptime, automatic backups every 24 hours with point-in-time recovery, and 24/7 monitoring with real-time alerts.
Every employee uses multi-factor authentication and single sign-on. No one accesses systems without multiple verification steps. Role-based permissions mean employees only see what they absolutely need for their job.
You own your data. When your agreement ends, it's kept for a reasonable window so you can export everything, then deleted or anonymised within 30 days of your request. You can export your data at any time.
All data comes from public sources including LinkedIn, Facebook, other social media, public records, property databases, and website activity. Third-party data enrichment partners aggregate publicly available info in full compliance with privacy laws including GDPR Article 32 and U.S. data protection laws.
Syncing is completely optional — you choose whether to connect Google or email. Everything created is yours. If you leave, all files, content, leads, Google Business Profiles, and SEO rankings follow you. You can exclude specific contacts from enrichment, and domain ownership always stays with you.
Migration & Getting Started
Simple. Connect your email and phone once, and the CRM handles the rest. Contacts flow in, activity gets logged, and your network starts to organise itself in the background.
Presence CRM can be activated right away, but full value won't be available until your website launches — approximately 30 days.
Two options: (1) Export a CSV and import directly — the system will clean it up automatically. Supported fields are First, Last, Email, Phone, and Notes. (2) Recommended: sync your Gmail or Outlook inbox with a one-time setup. More syncing options are coming soon.
No. Most agents start by letting Presence CRM run quietly alongside their current tools. Once they see what it captures and organises, they may choose to move more into it over time.
Yes — Luxury Presence supports migrating CRM data from any system if you can export it as a CSV. Reach out during onboarding or via support to start the process.
Support & Plan Changes
No. Current pricing is honoured mid-contract. Any pricing adjustments happen at renewal only.
No. Luxury Presence is adding features and value — no new PandaDoc signature is required. Updated terms of service allow the plan change without a new signature.
